How do I edit the email notifications?

This article is for: Legacy WebinarJam Users (Customers who joined prior to Sept 2017)

The few have ruined it for the many and spam became an issue in the original platform. Because we cannot allow SPAM, email notifications cannot be edited; unless you either set up a verification phone number or you get your own SMTP server.    
With verification or your own SMTP server, you will then be able to edit the notification emails as you wish or translate the emails into any language. You can even create additional emails.  
NOTE:  WebinarJam has a zero-tolerance spam policy. This means that all email recipients must have opted in to, or otherwise validly consented to, receiving communications from you, the sender. Subscriber accounts may be terminated for sending unsolicited email messages.
You are responsible for ensuring that the email messages you send in connection with your webinars do not generate a number of spam complaints or bounce rates in excess of industry standards. You must not use WebinarJam to send emails with deceptive subject lines or false or misleading header information.    


Phone Verification

By providing a verification cell number, you will be able to edit your emails.  This basically means you provide your cell phone number and WebinarJam will send you a 4 digit authorization code via SMS text.  You will then be required to submit that same 4 digit authorization code into WebinarJam for verification.    To set this up, you'll need to ...
  1. Edit an existing webinar
  2. Go to Notifications (Marked #2 Below)​
    1. A popup will appear - Add your Email Address and Name in the email notifications
  3. Click Add Email (Marked #3 Below) -
    1. NOTE: Until you have clicked Add email, there are no emails added
  4. Once you have added an email a blue box will appear with the time the email is to go out. 
  5. Click the Beaker to send a test email, the pencil to edit an email, or the trash to delete an email

* NOTE: Using the test feature in the Notifications section doesn't replace the shortcodes. However, in the live email reminders, they will appear with the proper information.

A Popup will appear
After verifying your phone number, you will be able to edit the email notifications by pressing the blue "Add email" button then pressing the pencil beside the email name (Marked #4 in the Email Notification image above) or create additional emails. 


SMTP Server 

For using the SMTP server, we really only recommend using a dedicated SMTP service like SendGrid.com, Mandrill.com, MailJet.com, Amazon SES, etc..  
NOTE:The SMTP provided to you from your hosting company or email address (Hostgator, Your Domain, Gmail) are for personal use only, not for bulk commercial email. This is only for fully fledged, professional SMTP servers. If you don't have a professional bulk email server, Sendgrid.com offers a free account with 12,000 emails a month.
By using your own SMTP server you will be able to edit the email notifications or translate them and be able to create additional emails. If you have SendGrid go to our How to Integrate SendGrid with WebinarJam  or MailJet Integration
To set this up, you'll need to click email notifications:
In the popup that appears when you click email notifications (Marked # 3 Above)  
Now you'll be able to edit, translate, and even add additional emails to your Notifications. * Remember, if you generate SPAM complaints your account will be banned.


How to Edit Emails

Now that you are able to edit the emails... exactly how do you do that?  
  • Inside the pop up, you'll see a yellow box reminding you that you can only edit the template below if you confirm your identity via SMS Confirmation.
  • Use the drop-down menu to select your country.
  • We’ll automatically insert the right country code. Then enter your area code and phone number
  • We'll send you a short numerical code via an SMS (text) message.
  • Enter the code we sent you and and click Verify
  1. Edit an existing webinar
  2. Go to Notifications (Marked #2 Below)
  3. Add your Email Address and Name in the email notifications (Marked #3 Below) - a popup will appear
  4. Click "Use your Server" (Marked #1 Below)
    NOTE: This is for dedicated SMTP Servers

  5. Fill out the form (Marked #2 Below)
    Remember to enter your name and email that you used to verify with the SMTP Server
    Add the SMTP Server, SMTP port, and type of encryption (this is a drop down).
    Add your SMTP username and Password

  6. Enter an email here to test to make certain your set up works (Marked #3 Below)
  7. Check the box if you want to save the information for future webinars (Marked #4 Below)
  8. Press the Green Select button (Marked #5 Below)
  1. First you need to press ADD the Email (Marked #1 Below)
  2. Then you can click the pencil to edit an email (Marked #2 Below)
NOTE: If you did phone verification you'll be able to edit the emails, however you can not create new emails.  If you set up your own SMTP server you'll be able to add emails.  
Now you can edit your emails!
You can translate "Webinar Title" and "Webinar Description" into a different language, add more information, add a link to your Attendee Pre-Webinar Checklist or add any other documentation you want to send to your attendees.  See the image below.
NOTE:  Please be careful to leave the shortcodes alone as they provide date, time, presenter information directly from your webinar.



How to Segment After Webinar Emails

After your webinar, you are able to segment your list according to the registrants below.  You can select from those who attended, or those attended who left before a certain time or other settings.
