How do I Add Chat to EverWebinar?

This article is for: Legacy EverWebinar Users (Customers who joined prior to Sept 2017)

 
There are 4 different ways to add chat to EverWebinar. This article will cover both how to add the chat and related information.

Adding Chat

To add chat, you will need to go to the "Live" tab of EverWebinar (Marked #1 Below)

Then click the pencil beside "Live Chat Box" (Marked # 2 Below)

Here you'll see a variety of boxes and options, which we'll go over below.

Also for the first three options, during your webinar, webinar attendees can type in responses to your webinar presentation. Only the person submitting the comments will see them or the EverWebinar moderator.

Read more about the Moderating in EverWebinar. With the question box, their only option will be emailing the questions... and some attendees will also email chat.

Upload WebinarJam Session

When you configure your EverWebinar, you can use a previous WebinarJam Session.  

This will upload the chat from that webinar, and all lines will be displayed individually. You would then be able to delete various lines from the chat (see the trash can below the #9 below)

Upload CSV

With this option you'll be able to create chat and the upload it to EverWebinar.  This option allows you to create a template of chat then modify as necessary.  Or you can take chat from other webinars and convert it into something for EverWebinar.

Your comma delimited CSV file must only have 7 columns, containing the values listed below. Each row in the CSV file will represent a new chat line.

NOTE: If you have any issues uploading your file please read How to Convert your CSV to the correct format for uploading

  • Hour: from 00 to 07
  • Minute: from 00 to 59
  • Second: from 00 to 59
  • Name: name of the admin or attendee making the comment
  • Role: either Admin or Attendee
  • Line: chat text to be posted
  • Mode: either Chat or Question

Below you can see an example of what it should look like... please note that there is a return after "Chat" or "Question." Without it, the file will not upload.

  • After you have created your file, you press Import from CSV (Marked #3 Below)

NOTE: If you have any issues uploading your CSV, we recommend using NotePad for Windows users or TextWrangler for Apple users as they saves the file in the correct format. This is especially important if your language uses accents and special characters. You can learn How to Convert your CSV to the correct format for uploading which fortunately is explained below :)

Create Chat

Within EverWebinar you also create chat.

Time: You will need to add the time (Marked #4 Below)
You'll need to add the time as follows: Hours: from 00 to 07  Minute: from 00 to 59  Second: from 00 to 59

Name: name of the admin or attendee making the comment (Marked #5 Below)

Role: either Admin or Attendee (Marked #6 Below)

Line: chat text to be posted (Marked #7 Below)

Mode: either Chat or Question (Marked #8 Below)

ADD: If you don't click the Blue Plus your line of chat won't be added to your webinar.

Display Question Box

If you wish for Questions to be mailed to you instead of having chat displayed, you can select "Display a question box."  

This option will disable the chat, from any of the sources above and simply have a question box instead of chat. You will need to add your email address as marked #2 below.

NOTE: Some people will still send chat, so you may get emails that include the name, email and "yes" or other single word answers.

How to Convert Your CSV to the Correct Format for Uploading

Despite the fact that many programs can save as CSV, some programs add additional formatting into the backend code of the file that creates conflicts when it is uploaded. We have found the best policy to make certain all your chat, and any special characters are displayed correctly is to save your file via Notepad for PC or TextWrangler for Apple.

Fortunately both of these programs are free and ensure that your chat is saved correctly and clear of any additional code. This is especially important when importing data in languages that has special characters, like Spanish, Portuguese, French and others.

PC NotePad

If you prefer, you can create your chat file in Excel, then save as a CSV.  After you have saved it as a CSV you will need to open it with NotePad.  Or you can create your Chat in NotePad.  

NOTE: Please make certain "Chat" or "Question" has  a return after it, otherwise the file will not upload.

Once you are ready to Save, please follow the steps below.

  • Click on File
  • Choose Save As (Marked #1 Below)

There are three items to update in the Save dialog that comes up:

  • Save as type: change this to All Files (Marked #1 Below)
  • File name: name your file and add the .csv extension to it - e.g.: MyWebinarChat.csv 
  • Encoding: click on the dropdown and choose UTF-8 (Marked #2 Below)
  • Save!  (Marked #3 Below)

Mac - Text Wrangler

If you prefer, you can create your chat file in your favorite spreadsheet, then save as a CSV.  After you have saved it as a CSV you will need to open it with TextWrangler.  Or you can create your Chat in TextWrangler. 

NOTE: Make certain you have Windows carriage return format turned on

 

Once you are ready to Save, please follow the steps below.

If you do not have TextWrangler download it from the Mac App Store: TextWrangler

  • After you have either uploaded your spreadsheet CSV or created your CSV file in correct format
  • Click File and in the submenu that appears Save As

 

  • Click Line breaks and select UNIX  (Marked #1 Below)
  • Click on Encoding and select Unicode (UTF-8) (Marked #2 Below)
  • Click Save
